Recording your welcome message
As soon as your conference room number and PIN have been set up, the service can be used at any time. You may record your own personal room greeting which all callers will hear when they first dial into a room. Follow the steps below to record your welcome message:
- Dial your conference service number, for example 0871 271 XXXX.
- Select option 3 from the main menu.
- Enter your room number and PIN.
- Press 2 to create or change your welcome message.
- Follow the prompt to record your welcome message.
- The message is played back to you, press 1 to accept the recording or 2 to re-record your message.
- Press 3 to return to the main menu.
Inviting participants to a conference call
To invite people to a conference call, you will need to provide them with the following information:
- The time and date of the conference call.
- The conferencing service number, for example 0871 271 XXXX.
- Your 6-digit conference room number.
- Your 4-digit PIN.
Joining a conference call
To join the conference call, follow the steps below:
- Dial your conference service number, for example 0871 271 XXXX.
- Select option 1 from the main menu.
- Enter your room number and PIN.
- Record your name to announce you’ve entered or left the conference.
- Press # to join the conference immediately or hold to hear a list of the features (you can press # at any time to join the call).
Using the service features
While the call is in progress, participants can activate features via the telephone keypad, as shown in the table below.
To hear a list of all features press * at any time during the call and follow the instructions. To return to the conference call while the features menu is in progress, press #. Below is a quick guide to using the features.

† Press 0 to return to the conference call.
†† All rooms are provided with caller announcements switched on. If caller announcements are disabled, they will remain switched off for all future conference calls until they are switched back on.
Description of features
Instant roll call - All participants connected to the conference call will hear a list of people connected to the call.
Personal invite - This feature allows you to invite another person while your call is in progress. You can dial out to a UK landline and give the conference call details to the invitee, so they can dial i to the call. If you dial a mobile number, a text message will be sent to the invitee. The text message will contain the details for the recipient to dial into your conference call.
Call recording - Any participant can activate call recording at any time during a conference call. All users will hear an announcement advising them that the call is being recorded. Users who join a call after call recording has been activated, will also hear this announcement. Call recording can be stopped at any time during a call, however, only the user who activated it on that occasion can stop it. In addition, if the user who activated call recording leaves the conference call, the recording will automatically stop and the remaining participants will be advised. Once the call is finished, the recording will be emailed to the conference room owner. The recording can be played back using standard media players (eg. Real Player, QuickTime, Windows Media Player).
Secrecy - Users can mute or un-mute their voice, which means it doesn't matter what type of telephone a participant is using to dial into the call.
Call volume - Users can individually increase or decrease the volume of the conference call.
Caller announcement - Users can switch the announcement of callers entering or leaving the conference call on or off. This is a useful feature if you have many participants joining or leaving the call at different times. |
